Accounts Payable Specialist

Overview

Summary: Responsible for all accounts payable processes in accounting department. Provides support to Accounting Manager and accounting team. Performs duties in accordance with ProSciento’s values, policies, and procedures.

Responsibilities

Essential Duties and Responsibilities include the following. Other duties may be assigned at the company’s sole discretion. 

  • Processes vendor’s invoices, credit cards statements, and other A/P accounts into ERP system.
  • Processes employees’ expense reports and contractor invoices for payment.
  • Assembles complete voucher packages (invoices, packing lists, purchase orders, approval signatures, etc.).
  • Interacts and communicates with vendors and internal departments to resolve questions, concerns, payment approvals, or discrepancies.
  • Manages invoices submitted thru A/P email account.
  • Sets up new vendors and ongoing W9 maintenance required for 1099 processing.
  • Assists in month end close and expense accruals.
  • Provides additional accounting and administrative support to the Accounting Manager including, but not limited to:
    • weekly check run disbursements,
    • filing, copying weekly check runs, pass thru invoices, and
    • general support for special projects.

Education/Experience:

High school diploma or general education degree (GED) plus 5 years accounts payable experience working in a fast-paced deadline driven environment. Basic accounting background required. Experience using NetSuite accounting system.

 

Language Ability:

Ability to communicate both verbally and written. Ability to read and interpret documents such as safety rules, Standard Operating Procedures, Work Instructions, procedural manuals, and accounting related documents. Able to communicate effectively to employees and management groups and in group meeting settings.

 

Math Ability:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

 

Reasoning Ability:

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Ability to demonstrate analytical and organization skills.

 

Computer Skills:

To perform this job successfully, an individual should have working knowledge and proficiency in the current Microsoft Office Word and Excel. Ability to quickly learn and use new software systems. Knowledge and experience with using accounting software packages such as NetSuite or equivalent.
